How Nebraska Airstream Club rallies are chosen, set up, and run

Rally Planning and Execution

The Club’s working plan for rallies: who selects next year’s sites, how parking and campground details are handled, and the usual Thursday-through-Sunday format the rally committee follows. Use it together with the Rally Host Guidelines when you are hosting.

The President chooses the rally sites for the current year during the preceding season. The current 1st Vice President selects rally sites for the following year.

The Rally Chairs will direct trailer and motorhome parking. Place Airstream Club International directional signs at strategic locations early on the day units arrive for the rally.

Confirm the location of the sanitary dump station and the propane source. Post this information on the bulletin board.

The rally committee will plan and host the rally. The committee is urged to be innovative.  The President has a rally idea book available. Most rallies could be planned around the following suggested format:

  1. Thursday for early arrivals — parking — usually no planned activities; everyone on their own. When possible, have a friendship room open in the evening.
  2. Friday morning - Continental or full breakfast - using club coffee urns.

    Friday morning and afternoon may be used for planned activities - local tours - fellowship - etc.

    Friday evening - dine together followed by planned activities - programs - games (small group/total group) - fellowship.

    It is suggested that coffee/tea and snacks/cookies be available all day Friday and Saturday. The caravanners will provide snacks and cookies; the committee will prepare the coffee/tea.
  3. Saturday morning: Breakfast - followed by business meetings.

    Saturday afternoon is for planned activities such as:  tours, contests, show and tell time, hobby shows, Big Red via TV, demonstrations, fellowship, etc.

    Saturday evening: potluck, catered dinner, or dine out as a group - followed by a fun time get-together or entertainment.
  4. Sunday morning: Church services with a local minister or a unit member minister or unit member leading the service. A catered brunch could be held after church services, or unit members could bring rolls, coffee cake, doughnuts, etc., and the committee provides coffee/tea.

Rally committees should meet as early as possible in a season to familiarize themselves with the rally site and available facilities and get ideas rolling. Committee chairpersons must notify the Corresponding Secretary at least 40 days before the rally so notice can be in the appropriate 'Trailhusker'. Information should include:

  1. Location and directions for arriving at rally site;
  2. Outline of rally program with activities and types of meals planned;
  3. Coupon for reservations that may be required for meals and tours - including person and address for return of coupon.

RALLY FEES

No rally fee will be assigned to visitors who join the rally for a meal or brief fellowship. The Rally Committee will determine the meal charge.

ACI policy requires all rallies to be financially self-sustaining and that visiting trailers/motorhomes pay the same rally and parking fees as unit members. Registration and rally fees are handled by the unit treasurer. Our minimum parking fee is $8.00 per unit. If the host campground charges higher parking fees, that increased cost will determine the parking fee.  Our rally fee is $8.00 per person, with a maximum rally fee of $16.00 per trailer/motorhome. Review the financial policies related to rallies (parking fees and rally fees) annually to maintain fiscal balance.

Rally Host Guidelines

Rallies are the heart and soul of our Nebraska Airstream Club. They are where we meet to discover new friends and renew old friendships. These guidelines are meant to help members host a rally, not to limit flexibility.
