Rally Registration Cancellation Policy
We understand that plans can change, and we strive to be fair while ensuring the success of our events.
If you find yourself unable to attend a rally, please contact the club registrar (unit112registrar@gmail.com). Once your cancellation request is received, the following rules will determine the amount of any refund you may receive:
Cancellations Before the Deadline:
Cancellations made before the published deadline will receive a refund of any rally and campsite fees paid to the Club minus a 5% administrative fee.
Cancellations After the Deadline:
Cancellations made after the published deadline date are not guaranteed a refund. Each rally will maintain a waitlist to fill spots that become available due to cancellations.
If the club can fill your spot from the waitlist, you will receive a full refund of any rally and campsite fees paid to the Club minus a 5% administrative fee.
If the club cannot fill your spot from the waitlist:
- You will not receive a refund of the rally fee
- If you purchased your campsite through the club:
- If the campground provides full or partial refunds at the time of cancellation, you will receive the provided campsite fee refund, minus a 5% administrative fee.
- If the campground does not provide full or partial refunds at the time of cancellation, you will not receive a campsite fee refund.
If you purchased your campsite directly from the campground (including the WLYH Terraport for home rallies), campsite fee refunds are subject to the campground's cancellation policy and must be requested directly from the campground.
Once your refund eligibility is confirmed, please allow up to 10 business days for processing. Refunds will be issued using the original method of payment.
The above rally cancellation policy was approved by the Board of Trustees on June 19, 2025.
